Registration for NWO ICT.OPEN2025 can be done in a few simple, consecutive steps. Just follow the instructions on your screen on each of the steps to go through the registration process.

After having completed your registration, an email confirmation will be sent to you within a few minutes, including the invoice. If you do not receive it in your inbox, please check your spam folder or otherwise contact Team NWO ICT.OPEN2025 at ICT.Open@congressbydesign.com.

If you have submitted an abstract for NWO ICT.OPEN2025, please use the same credentials to access the registration.
If you are accessing the online registration for NWO ICT.OPEN2025 for the first time, please create a new account (login) and follow each step of the registration process.

Update your registration
If you have completed your registration and would like to make changes or if you have started a registration, but did not finalise it, you can modify or complete your registration by signing in with your existing account.

By participating in the conference and entering the conference and social event venues of NWO ICT.OPEN2025, you consent to the publication, release, exhibition and reproduction of such materials to be used by NWO and the suppliers of NWO ICT.OPEN2025.

The following is included in your registration:

  • Coffee and tea during breaks;
  • Access to all plenary and parallel sessions, poster sessions, demo's and interactive sessions;
  • Access to the exhibition hall with exhibitors and other activities;
  • If your registration includes Tuesday 15 April 2025:
    • Walking Dinner;
    • NWO ICT.OPEN2025 festive evening programme (party) - excluding drinks, they are at your own expense.
  • If your registration includes Wednesday 16 April 2025:
    • Lunch;
    • Drinks (at your own expense, snacks are included).

You have the option to book a hotel room for your overnight stay for an additional fee. Please note that a room can be booked until availability exists and/or before 24 March 2025.

It is possible to request child care for young children on 16 April 2025 if the age of your child (children) is from 0 years - 4 years (up to and including 4 years).

Sustainability details

NWO is committed to organising NWO ICT.OPEN2025 with as minimal impact on the environment as possible and to continue to further reduce its carbon footprint in future years. These questions will help us track this year's carbon footprint.

If you will combine your travel by car or public transport with travel by bicycle, you do not need to include the kilometers that you will cycle, just the kilometers by car or public transport.
If you will travel by car and by public transport, please include the distance you will travel for both separately.
Please include the distance you will travel by bicycle if you will only travel by bicycle and not by car or by public transport.

Please note that you need to include the travelled distance for the round trip !

Summary

Terms and Conditions

We have limited capacity at our venue. If you are unable to attend the conference in person, please cancel as soon as possible so we can offer your place to someone else.

Payment Methods
We accept payments by credit card and iDEAL (Dutch participants). Any additional fees (e.g. bank charges) are at own expense.
With payment by credit card, the amount will be charged immediately at the time of the transaction.

Hotel rooms
Hotel rooms are offered while availability exists.
Deadline to book a hotel room is 24 March 2025.

 

Cancellation Policy
Cancellation of registration on or before 13 March 2025: full refund. Cancellation of registration after 13 March 2025: no refund. Cancellation of hotel room on or before 13 March 2025: full refund. Cancellation of hotel room after 13 March 2025: no refund + € 100 fine to cover the costs of your hotel reservation. No-show: If you do not attend NWO.ICT.OPEN and do not cancel your registration at all, an additional fine of € 100 will be charged on top of the total registration and hotel fee to cover the costs of your reservation

Payment

You can pay by credit card or IDEAL (Dutch participants). We cannot accept payments by cheque and debit cards. Any additional fees (e.g. bank charges) are at your own expense. Please note that you will be taken to the secured site of our payment service. Your payment will then be made to the dedicated NWO account of Congress by design, the congress service agency of NWO ICT.OPEN2025.
